Winter Graduation Ceremonies 2022

 

Our Winter Graduation ceremonies will be taking place this year from Tuesday 13 – Friday 16 December.

The ceremonies are our most significant College-wide celebration held every year. Our College’s ceremonies are widely regarded to be one of the most special, as they are held in spectacular surroundings and are small enough in scale to feel personal for those taking part.

Running these events and supporting students on their graduation day requires the support of a large number of staff from all areas of the College. Not only do we need your support, but every member of the College should have the opportunity to take part in these ceremonies as it is a enjoyable experience and strengthens our College community as well as demonstrating to our students and guests how much we all support them.

For the upcoming Winter Graduation ceremonies, the Graduation team kindly request your support as either a door marshal or usher.

Role of Ushers

  • Check guest tickets
  • Assist guests to their seats
  • Support the Auditorium Manager with resetting the auditorium before each ceremony

Role of Door Marshalls

  • Open and close the doors when directed by the Ceremony Timings Manager
  • Assist guests to their seats

Time required

  • The duration of each ceremony is one hour, and all take place in the Windsor Auditorium
  • Ushers are required to arrive 90 minutes before the ceremony to assist with laying out the programmes. You are more than welcome to stay for the duration of the ceremonies, however, it is not mandatory. The guests are asked to take their seats one hour before the ceremony begins.
  • Door Marshals are required to be at the Windsor Auditorium 90 minutes before the ceremony until the ceremony ends.

Training

  • Training for both roles will take place on Friday 25 November at 2-3pm on MS Teams
  • You will be supported on the day by the Windsor Auditorium Manger and the Student Engagement team.

What to wear

  • The College will hire robes on your behalf. You will just need to collect them from Windsor 102/10 before your shift starts.

FAQs

Where are Winter Graduations being held?

Ceremonies will take place in the Windsor Auditorium. Registration will be held in the Windsor Foyer. If you are part of the academic procession, please make your way to Windsor 005 30 minutes before your ceremony. 

Gowns for Ushers and Door Marshals

Please make your way to Windsor Building 102/103 on the first floor. The Ede and Ravenscroft team will be there to assist you. If you are an usher or door marshal, your gown will be ordered for you. Please collect your gown before your shift starts. Please ensure that you return your gown at the end of your shift. Please note Ede and Ravenscroft will be open from 8.30am – 5.30pm (excluding Friday when it will close at 3pm).

Pre-booked gowns for academics and area managers

Please make your way to Windsor Building 102/103 on the first floor. The Ede and Ravenscroft team will be able to assist you. Please do let them know your name when you arrive. They will locate your specific gown and help you dress. Please collect your gown at least 30 minutes before your ceremony. Please ensure that you return your gown at the end of the day. Please note Ede and Ravenscroft will be open from 8.30am – 5.30pm (excluding Friday when it will close at 3pm).

What should I wear?

This is a formal occasion, please can we ask that all supporting colleagues do not wear jeans or trainers to the ceremonies.

How do I sign up to be an Usher or Door Marshal?

If you are able to volunteer as an Usher or Door Marshal, please check with your line manager complete this MS Form by Saturday 19 November.

What time do I need to arrive before my shift?

We ask that you sign in at the Student Engagement Queries desk in the Windsor Foyer when you arrive. Please see timings below for each role:

Ushers – please can we ask you to arrive 90 minutes before your ceremony.

Door marshals – Please arrive 90 minutes before the ceremony

Registration – Please arrive 90 minutes before each ceremony.

Auditorium Managers – Please arrive 90 minutes before the ceremony

Academic room managers - Please arrive in the academic room (Windsor 005) by 8.30am.

Can I park on campus?

Parking is available in Car Parks 7 and 8 if you arrive on campus by 8.30am. If you arrive in campus after 8.30am, please park in Car Park 14 on the North A30 car parks. Overflow parking is available in the Church on Harvest Road.

I'm an Academic, can I take part in Graduation?

A member of your School will be in touch with you once the booking site is open.
