Receiving an offer and making a decision

Find out about how and when you'll receive an offer and what to do to make your decision

How are rooms allocated?

Accommodation is allocated on a first-come first-served basis. We try to allocate so that continuing undergraduates are housed together and continuing postgraduates are housed together, however please note we may need to mix new students with continuing students or undergraduates with postgraduates so that we can offer accommodation to as many students as possible. When all available rooms have been allocated, any further applications will be placed on a waiting list for consideration as soon as a room becomes available.

Please note that if you're currently living in Halls, you will not necessarily be offered the same Hall or room for the new academic year. We will start to process applications from Monday 28 January. You'll hear from us within two weeks of submitting your application.

Applications will be processed on a first-come first-served basis in the following order

  1. Students that qualify for the accommodation guarantee
  2. Students returning from a year abroad or year in industry
  3. All other applications received from continuing students

For students who qualify for guaranteed accommodation

  • If you’ve been granted medical priority by our Disability and Dyslexia Services team, you’ll be allocated a room based on the assessment of your needs.
  • If you’re a Choral, Instrumental, Organ or Sports Scholar, we’ll offer you a room in a Hall that best matches the requirements of your scholarship.
  • If you're a Sabbatical Officer, Chapel Warden, Hall Life Duty Officer or Hall Life Assistant, we will offer you a room in a Hall appropriate to your role.

Receiving an accommodation offer

When and how will I hear if my application has been successful?

To find out when you’re likely to hear about your application, please read our Student Accommodation Allocation Policy 2019/20.

During the period you're expecting to hear from us, make sure you check the Online Accommodation System daily to see if we've made you an offer. If your application for accommodation is successful, we'll also send you an email to let you know. Make sure you check the system regularly and don't rely on the email as sometimes this can end up in a junk mail folder.

If you've requested to be allocated with friend(s), you'll receive confirmation of whether this has been possible.

You will be given ten calendar days to respond (two days for applications processed from 1 June 2019 onwards) and you will have the option to accept or decline your accommodation offer.

Making your decision

Accommodation prepayment

Before accepting your accommodation offer, you'll need to make a non-refundable prepayment of £300. Don’t worry, this isn’t an additional cost, as the £300 will be deducted from your first installment of rent. Please note that prepayment must be made through the Online Accommodation System and not through ePay.

Accepting your offer

I’ve received an offer and would like to make the prepayment and accept, what do I need to do?

To accept your offer, log into the Online Accommodation System, then:

  • Click on “View and Accept offer” on the left hand side under the heading “Application & Contract”
  • Read the details of the room carefully and make sure you’ve read the Terms and Conditions (available soon)
  • Click to make the accommodation prepayment of £300. You must complete the payment before you're able to accept the offer. Please note that payments should be made through the system and not via ePay.
  • Enter your student ID number and your date of birth in the boxes provided at the bottom of the page.
  • Click “Accept”

Once you’ve successfully accepted your offer, a confirmation email will be sent to you.

Don’t forget to accept your accommodation offer before it expires! You’ll be given ten calendar days from the date of the offer (two if your application is processed from 1 June 2019 onwards). The deadline will appear in your offer email, so make sure you check this carefully.

Please note, accepting this offer will form a binding contract between you and the College.

Having trouble accepting your offer?

If you'd like to accept your offer of accommodation but are having difficulty in doing so, please contact the Student Services Centre to explain the reasons why. Please ensure you contact the team before your offer expires.

Declining your offer

Before you click decline…

You’ll only receive one accommodation offer and therefore if you choose to decline it, you won’t receive another offer for Halls of Residence for the 2019/20 academic year. This means that you’ll need to find accommodation in the private sector.

Find out more about accommodation options in the private sector.

I wanted to live in a different Hall to the one I’ve been offered, what can I do?

If you’re not completely happy with the accommodation offer you’ve received but you would still like to live in Halls, there is the potential you can move to a vacant room (subject to availability) from 14 October 2019.

You would need to accept the accommodation offer you’ve received and move into that room at the start of term. If you then decide, after living in the room, that you would still like to move rooms you can submit a Room Move Request from 14 October 2019. There’s no guarantee that we’ll have an alternative room to move you to so you should only accept your accommodation offer if you would be willing to live in your original room for the duration of the contract. For further information please visit our Move to a different room or Hall and read our Room Move Policy 2019/20.

Remember if you decline your offer, you won’t receive another offer of accommodation for the 2019/20 academic year and you’ll need to look at accommodation options in the private sector.

I’ve received an offer and I would like to decline it, what do I need to do?

To decline your offer, log into the Online Accommodation System, then:

  • Click on “View and Accept offer” on the left hand side under the heading “Application & Contract”
  • Click “decline” in the bottom left hand corner of the page.

Expired offers

You can find out when you can expect to hear about your offer in our Student Accommodation Allocation Policy 2019/20. Please make sure you’re checking the Online Accommodation System on a daily basis during this time. Offers will also be sent by email, but we'd recommend checking the system first as our emails could end up in a junk mail folder.

When you receive an offer from us, you’ll need to respond by the deadline stated. If you don’t respond to the offer in the Online Accommodation System by the deadline, your offer will expire and you’ll lose the opportunity to live in Halls of Residence.

How long will I have to review and accept or decline the offer?

You’ll be given ten days from the date the offer is made (two days if your application is processed from 1 June onwards) to respond before the offer expires. The deadline will be clearly stated on your accommodation offer.

I’ve received an offer but it has expired, what should I do?

If you’ve missed the deadline stated in your offer email, we won't be able to make you a second offer. Please contact the Student Services Centre if you have any questions.
