Below are some of our most frequently asked questions about Student ID Cards.

How do I submit a photo for my Student ID Card?

Log into Campus Connect using your Microsoft 365 ID, which is your username with '@live.rhul.ac.uk' added at the end (e.g. abcd1234@rhul.ac.uk) and your University password. 

Go to 'Enrolment' and click on 'Photo Upload'.

To guarantee your Student ID Card is ready for when your course starts, you will need to submit a photo before Wednesday 20 December 2023. 

What is the deadline to submit a photo for my Student ID Card?

The deadline to submit a photo for your Student ID Card is Wednesday 20 December 2023.

If you submit a photo after this deadline, you'll still receive your card, just at a later date. There are a number of interim measures in place for students who haven't been issued their card in Welcome Week, these include: 

  • All residents being issued on arrival with a temporary key card for their room and a PIN to access the building if applicable 
  • Library gates passable without your Student ID Card 
  • Access to Students Union events permissable by showing your Student Status Certificate for this academic year (either printed or on your phone). 

 

What are the requirements for submitting a photo?

Requirements for submitting a photograph for your Student ID Card:

  • Recent passport style photo of your face without any covering, unless worn for religious beliefs or medical reasons
  • Good quality colour photo with a light background
  • Portrait orientation
  • No photo filters, for example Snapchat filters 
  • The file attachment must also be be a .JPG file. Please note, we cannot open One Drive attachments, please ensure you attach file documents only not web linked documents.

How will I know if my photo has been accepted?

Once you submit your photo, our team will review your image and confirm if it has been accepted within 5 working days. You will receive an email (to your University email) to confirm if your photo has been accepted or not. 

I have previously studied at Royal Holloway, do I need to submit a new photo?

If you have previously studied at Royal Holloway or changed your start date, you’ll still need to submit a new passport style photo for use on your new Student ID Card. Please note, failure to submit a photo will result in a delay in you receiving your Student ID Card.

What is my Student ID Card used for?

 Your Student ID Card is your proof of identity at Royal Holloway and provides the following:

  • Building access
    Your Student ID Card will give you swipe access to certain buildings out of hours e.g. 24-hour PC labs and to restricted facilities within your department (if applicable). If you are living in Halls of Residence, your card may also function as your room key.

  • Library access
    Your Student ID Card will give you access to the Royal Holloway Library. This means you'll be able to borrow library materials and gain full access to the Library and its services. Full details of these services can be found on the Library homepage.

  • Printing
    Your Student ID Card will give you swipe access to printers on campus to allow you to release print jobs from the queue.

  • Students’ Union membership
    Your Student ID Card will additionally serve as your means of proof of membership when accessing the Students’ Union venues, activities and services.

  • Cashless payment method
    Your Student ID Card can be topped up with credit and used as a cashless payment method purchases in the dining halls, cafes, bars and shops on campus. For more information about the benefits of using your campus account and for details on how to top your account up, please see our web pages.

How do I collect my Student ID Card?

You will be emailed when your card is ready for collection, please wait for your collection email before visiting the Students Service Centre. 

If you submit and have your photograph approved by Wednesday 20 December 2023, your card will be ready to collect from the Student Services Centre, Emily Wilding Davison Building from 10am on Monday 8 January 2024. 

If you are based at our London Campus, you will be contacted by lgs-school@royalholloway.ac.uk to confirm your collection details.
