Student Route / Tier 4 visa PGR engagement monitoring


 

Why is Student Route / Tier 4 PGR engagement monitoring important?

The College is under a legal obligation to ensure that all students who we are sponsoring under a Student Route / Tier 4 visa are engaging with their studies.  We also need to be able to report to the UKVI if they are studying outside of the UK at any point. 

Examples of PGR 'engagement' from a UKVI viewpoint

Examples of expected contacts for PGR students include:

  • having a meeting with a supervisor (including virtually) 
  • attending a research-method or research-panel meeting
  • attending seminars or doctoral workshops
  • attending an oral examination (viva)
  • submitting (chapters of) thesis

Why do PGR supervisors need to complete an engagement monitoring questionnaire every two months?

It is crucial that the following are picked up as soon as possible:

  • any concerns about a Student Route / Tier 4 student's engagement
  • that a Student Route / Tier 4 student has left the UK (other than for a holiday) without having informed the Visa Officer in Student Administration

In order to facilitate this, we request that all supervisors of PGR students who are sponsored under a Student Route / Tier 4 visa complete a short online questionnaire for each of their Student Route / Tier 4 students once every two months to confirm their level of engagement / location.  

If this questionnaire were sent out less frequently, the College runs the risk of not reporting engagement concerns to the UKVI within the required timeline, therefore putting our visa sponsorship at risk.

When do you need to complete the questionnaire?

The Doctoral School will contact you each time a  Student Route / Tier 4 engagement monitoring submission is required with a personalised link to the questionnaire.  You should expect to be contacted about this mid January / March / May / July / November  - and the beginning of October (timing due to start of session for new students).

The schedule for engagement mornitoring for 2022/23 is:

  • 03 October 2022 - 19 October 2022
  • 22 November 2022 - 12 December 2022
  • 17 January 2023 - 06 February 2023
  • 21 March 2023 - 10 April 2023
  • 23 May 2023 - 12 June 2023
  • 25 July 2023 - 14 August 2023

Do you need to submit a separate questionnaire for each Student Route / Tier 4 student?

Yes please.  We have tried to keep the form as short and as user friendly as possible so it should not take very long to complete the form for each of your students.
