Calendar of PGR administration tasks


Tasks to be completed throughout the year by PGR administrators - and when to complete them

Key tasks by month

Please note that this list is not prescriptive as it is understood that all departments have slightly different ways of organising their administrative tasks. This is an example of how some departments currently schedule their PGR administration tasks and should be read in conjunction with the 'Tasks throughout the year' table to the right.

 

SEPTEMBER

  1. Hold new PGR student induction day
  2. Give new PGR students access to any Moodle pages required
  3. Give new PGR students access to room booking system
  4. Set up attendance monitoring system for new PhD students
  5. Update Banner with supervisory team details (SGAADVR)
  6. Agree dates for and post on Moodle details of departmental Research Training Seminars/PhD training
  7. Arrange mentors (3rd year students for 1st year students / PostDocs for 3rd year students)
  8. Update department contact pages
  9. Follow up late enrolments

OCTOBER

  1. Tier 4 reporting point 1
  2. Send DoGS info. for PGR Annual Review
  3. Recruit and arrange training for new 1st year student reps.  Check that existing reps happy to continue
  4. Notify PURE team of new students' research group affiliations (i.e. supervisory team)
  5. Check each student's PURE record has been populated

NOVEMBER

  1. Staff / Student Committee - arrange, attend, minute and action points discussed

DECEMBER

  1. Discussion with DoGS about number / type of studentships available to department for next academic year (e.g. deptmental / RCUK etc)
  2. Update departmental webpages to reflect studentships being offered / application procedures
  3. Advertise studentships via jobs.ac.uk, College HR pages and dept. webpages
  4. Update PGR page on College prospectus 
  5. Monitor Arc and RHDirect for applications.  Check all supporting documents e.g. application, project proposal (if required), financial plan, references, transcripts, supervisor support letter, English language requirements
  6. Send applications and supporting documents to DoGS plus other Research Panel members once deadline has passed
  7. Preparation for January intake
  8. Winter graduation ceremony
  9. Christmas social

JANUARY

  1. In preparation for panel shortlisting meeting, combine panel ranks to provide one overall ranking for each student (ranked by student / supervisor / project)
  2. Attend panel shortlisting meeting and take minutes

FEBRUARY

  1. Tier 4 reporting point 2
  2. Set up interviews for potential candidates.  Send decline email to those not shortlisted.

MARCH

  1. Staff / Student Committee - arrange, attend, minute and action points discussed

APRIL

  1. Following interviews, inform Admissions and Research Degrees so that offer letters / studentship offers can be sent out.  Send out decline emails (NB - reserve list)

MAY

  1. Tier 4 reporting point 3
  2. Write to 1st year students and their supervisors asking them to arrange their 1st annual review within 9 months of start their date
  3. Book induction day rooms and ensure key staff are available
  4. Collate upgrade paperwork and send to the Research Degrees team for processing 

JUNE

  1. Tier 4 reporting point 4
  2. Advise Director of Teaching and Learning who will be available to teach 6 hours unpaid.  Set up teaching contracts
  3. Prepare for and attend meeting with student reps about PGR traIning for following academic year.  Take minutes

JULY

  1. Staff / Student Committee - arrange, attend, minute and action points discussed
  2. Summer graduation ceremony
  3. Agree PGR seating plan and allocate cabinet / storage space

AUGUST

  1. Prepare next year's PGR Student Handbook
  2. Arrange new PGR student induction day - e.g. book room and refreshment
  3. Write to new PGR students with invite to induction, agenda and details of other key dates to mark in diary.  Include link to regulatory documents.
  4. Agree advisors
  5. Write to 2nd / 3rd / 4th year students and their supervisors asking them to arrange their next Annual Review (within 12 / 24 / 36 months of start date)

ADMISSIONS

Field enquiries about applying for a PGR programme.  Application process runs all through the year

MONITOR ENGAGEMENT

  • Check that the start date on the students' records match when they actually started
  • Monitor attendance throughout year
  • Monitor supervisory meeting logs
  • Tier 4 students - Inform Student Administration if there is a question mark over engagement with studies /  changed location of study

PROGRESSION

Ensure annual reviews / upgrades are held by College deadlines

TRAINING

  • Send reminders about PGR departmental training before each session / arrange register
  • Post slides on Moodle afterward session
  • Monitor training logs

MOODLE

Maintain PGR Moodle pages

TURNITIN

Set up Turnitin for sampling of pre-viva theses 

FINANCE

Deal with finance queries / Research Training budgets / travel costs

HR

Set up of teaching contracts for PGR students with teaching commitments

WELLBEING

  • Signpost support provided by the College Wellbeing team
  • Signpost students in need of special access arrangements to the relevant DDS (Disability and Dyslexia Service) contact
  • For students interrupting or requesting a suspension of regulations, collate forms and supporting documents and submit via online form to AQPO (Academic Quality and Policy Office)
  • For students wishing to change mode, take maternity leave or withdraw. collate forms and supporting documents and submit to the Research Degrees team

EXAM PROCESS

  • Submit exam entry form to Research Degrees team
  • Check that thesis has been submitted
  • Once viva date is agreed - book room and arrange refreshments
  • On viva day - provide voice recorder to examiners / save recording
  • Check that amendments have been submitted
  • File copy of award letter and reports at end of process

ANNUAL DEPARTMENTAL PGR CONFERENCE

  • Organise annual departmental PGR conference
  • 1 month before: send out invites, request titles and abstracts, source posterboards etc.
