Extensions


Needing an extension to a submission deadline should be a rare occurrence, so if you find that you are having difficulty meeting submission requirements across your programme of study you should talk to your Personal Tutor, or staff at your School Helpdesk, who can advise you on the relevant support available to avoid this having a negative impact on your studies.

 

 

Key information about Extensions

  • Extensions to submission deadlines are available for either 2 or 5 working days

  • Working days exclude weekends, bank holidays and full university closure days.

  • You are permitted a total of 4 extensions each academic year (2 x two working days and 2 x five working days)

  • Applications for extensions are made via an online system which you can access through Campus Connect (click the Make an Application button below to be taken to Campus Connect)

  • We strongly recommend that you read the How to Apply and FAQ sections below before making your application so you know what to expect.

 

Please read the following instructions before making your application

 HOW TO APPLY - Undergraduate and Postgraduate Taught Programmes and taught modules taken by Postgraduate Research students

  1. Make sure an extension is the correct solution for your current situation. Remember, you have a limited number of extensions to use each year. If you don't think you will be able to submit your work, even after an extension is approved, you might be better off applying for Extenuating Circumstances.

  2. Think carefully about how long you need - extension requests cannot be amended, extended or withdrawn.

  3. Complete and submit your Extension Application Request. (link below or directly via Campus Connect - in the My Studies tab) You will be asked for your Royal Holloway login details to access the system. You will need to know the module number, assessment name and published submission date/time.

  4. You will be asked to indicate the reason you need an extension and to include brief details of your circumstances for monitoring purposes. All information will be treated confidentially.

  5. You can save your application as you go but you must press submit when complete. The submit button is on the right at the bottom of the form. 

  6. The system will indicate how many extensions you have remaining for the academic year and will also tell you if an assessment is exempt from extensions.

  7. The system will only show you assessments for modules you are registered on and that are due for submission in the next 5 working days.

  8. You will receive an outcome very soon after submitting your application. You will receive an email to confirm your application has been processed and the outcome is available and/or you can look in the 'My Applications' section of the Extension System. Please be patient, your outcome will usually be available within a couple of minutes, but occasionally the system may take a little longer. Please only contact the extensions team if you cannot see your outcome after a couple of hours.

  9. Requests can be made up to 5 working days before and up to the submission deadline. 

  10. You cannot submit an extension request after the original deadline has passed.

If you are on a Pre-sessional English Language Programme, please contact the Centre for the Development of Academic Skills (CeDAS) for advice.

If you are a Postgraduate Research Student you can use the extension system for any taught elements of your programme - your tutor should be able to advise you if you are eligible. For all other extension requests please contact your Director of Graduate Studies for advice.

  FREQUENTLY ASKED QUESTIONS

How many extension can I have?

You are permitted 2 x two working day extensions and 2 x five working day extensions each academic year.  

When can I apply for an extension?

You can apply from 5 working days before, and up to the published submission date.

How will I know if my application has been received?

You will receive an outcome very soon after submitting your application. You will receive an email to confirm your application has been processed and the outcome is available and/or you can look in the my applications section of the extension system. Please be patient, your outcome will usually be available within a couple of minutes, but occasionally the system may take a little longer. Please only contact the extensions team if you cannot see your outcome after a couple of hours.

Do I have to provide any evidence of my circumstances?

You do not need to provide any evidence when applying for an extension to your submission deadline.

My assessment is not showing in the system - what should I do?

If your assessment is exempt from extensions it should still show in the system but will be labelled as exempt. Only assessments due in the next 5 working days will show - please come back nearer the time if the submission date is further ahead.

If you are certain that your assessment is eligible for extensions and the submission deadline is in the next 5 working days then please contact your School Helpdesk. Your school provides the submission deadline data that the system uses and very occasionally an error or omission might occur. We will do our best to resolve these issues as fast as possible.

I have used all my permissible extensions but have experienced problems submitting further assessments.

Firstly, we recommend that you discuss your situation with your Personal Tutor or the School Helpdesk - needing more than 4 extensions in an academic year should be very rare and it is important that your School know you are experiencing difficulties so they can support you where possible.

You could also submit an Extenuating Circumstances application. This is a longer, more detailed process and you will need to provide evidence. You will normally only receive the outcome of your application when results are released. Details about the Extenuating Circumstances process and how to apply are available here.

 

I’m registered with D&N/Wellbeing Teams or have experienced severe disruption to my studies – Can I have additional extensions?

No – The extension policy and the associated allocation of extensions applies to all students equally.  Your individual circumstances will be being supported in different ways by either D&N or Wellbeing (or both) and the extension system is just one tool available to all students to help you succeed.  

What if the extension I was given has not given me enough time to complete my assessment?

It is strongly recommended that you discuss your situation with your School if you are still unable to submit your assessment by the extended deadline. You could submit an Extenuating Circumstances application. This is a longer, more detailed process and you will need to provide evidence. You will normally only receive the outcome of your application when results are released. Details about the Extenuating Circumstances process and how to apply are available here

I applied for a two working day extension - can I now change it to a five working day extension?

No - only one application is permitted for each eligible assessment. You should think carefully before making your application about how long you might need. You could also submit an Extenuating Circumstances application. This is a longer, more detailed process and you will need to provide evidence including why you still unable to submit even though the deadline was extended. You will normally only receive the outcome of your application when results are released. Details about the Extenuating Circumstances process and how to apply are available here. I have used up my two working day extensions but my assessment does not allow five working day extensions - what should I do?

In these circumstances the system will still allow you to apply if you have remaining 5 working day extensions. You will still need to submit within 2 working days.
