What happens on the day?

90 minutes before the start of your ceremony

Register your attendance and collect your red name card.

Registration will close 30 minutes before the ceremony start time, however we recommend you arrive as early as possible to ensure you don’t miss the briefing.  

You need to register on arrival, please bring a photo ID with you. At registration you will be given a red card with your name and award details. The red card will be read out whilst you are receiving your award on stage. Please keep this with you at all times.

Once Registered

Collect your gown upstairs in Windsor 102/103.

Please have your booking details and red card to hand. The gowning assistants will need these to find your gown.

Please ask your guests to wait outside while you collect your gown.

If you arrive in good time you might want to have your photographs taken immediately after collecting your gown to avoid queus after the ceremony.

40 minutes before the ceremony

Guests make their way to the ceremony hall.

There will be an announcement to mark the opening of the ceremony hall.

Graduands make their way to the assembly room.

This is where you will be put in the correct order for presentation.

Graduands must be in the holding room no later than 30 minutes before the start of their ceremony.

Graduand briefing.

Staff will run through a presentation and explain exactly what graduands will do as they cross the stage, recieve their scroll, and then take their seats.

15 minutes before the ceremony

Final admittance for guests into the ceremony hall.

All guests must be sat in the venue at least 15 minutes prior to the beginning of the ceremony.

Late arrivals may not be permitted to avoid disruption and ensure the ceremony starts on time.

Graduands are escorted directly to the South Quad steps where departmental photographs will be taken.

Guests are welcome to join graduates.

Receptions will commence following departmental photographs.

We invite you to raise a glass with your guests using the drinks tokens provided.

Gowns must be returned no later than 5pm each day.

My guests or I have access requirements - what should we do?

When you register for your ceremony, you will be able to tell us if either yourself of your guests have access requirements. We will then contact you directly using the email address you use when registering to provide more information.

All venues for Winter Graduation have step-free access, and a hearing loop will be available in the ceremony hall. Accessible seats within the ceremony hall will be reserved and available only for guests with access requirements.
