Student with a question

Frequently asked questions

When is my graduation ceremony taking place?

The Winter Graduation ceremonies will be taking place between the 17 – 19 December 2019. The timetable for the ceremonies is available now.

Will I receive an invitation to graduation?

All students who are eligible to attend the graduation ceremonies will be emailed in October with instructions on how to register and book tickets.

What happens if I don't complete my programme?

If you don't complete your programme then you are not eligible for graduation.

The Student Administration team checks the eligibility of everyone who has confirmed their attendance at graduation. Students who haven't completed their programme automatically receive refunds for any tickets they have purchased, and their attendance is cancelled.

We strongly suggest you confirm your attendance and book tickets even if you aren't sure if you will complete your degree this year (if you think you may need to repeat or resit next year, for example) to avoid any disappointment . If you choose to wait until you know you have passed before you register to attend graduation there might not be any more guest tickets available.

I need a letter to support my visa application for myself or my guests to enter the UK to attend graduation

Please refer to our guidance for international students.

I need more than two guest tickets

Any remaining tickets following the initial booking period will be made available to purchase online from noon on Tuesday 19 November. These will be subject to availability and will be sold at £15 per ticket on a first-come, first-served basis.

Any remaining or returned tickets after the booking site closes from the second booking period will then be sold on the day, 90 minutes before the start of the ceremony at £15 per ticket. Tickets will be sold on a first-come, first-served basis.

Please be aware that tickets will only be sold to, or with the permission of, graduands.

Where can I park?

Guest parking is provided on campus. To park on campus you will need a parking pass. This will be emailed to you as an attachment once you confirm your attendance on the Student Registration & Booking Site. Please print this pass and display it clearly in the windscreen of your vehicle. Without it, you will not be permitted to park on campus.

If you did not receive a pass in your confirmation email, please email the Graduation team and a pass will be sent to you.

Disabled parking will also be provided.

My guests have additional access arrangements

As part of the Student Registration & Ticket Booking process you'll be asked whether any of your guests have a disability. We will then contact you to discuss their needs to make sure that appropriate seating is reserved for them in the venue.

Can children attend the ceremony?

As part of the Student Registration & Ticket Booking process you will be asked whether you are bringing any guests under the age of five to the ceremony. Children are welcome to attend graduation but please note that the ceremonies are formal in nature and young children may become restless or unsettled during the ceremony. To ensure the enjoyment of other guests, and to avoid any disruption to the ceremony, guests with very young children will be asked to sit near the exit of the venue to allow them to leave at any time should they need to do so.

Children under the age of five do not require a guest ticket but must sit on an adult’s lap during the ceremony.

Children aged five and over must have their own ticket. Please note that there are no child concessions.

Can my guests and I stay on campus overnight?

If you would like to stay on campus with your guests we have accommodation available in our premium Halls of Residence. Rooms in halls are grouped into flats of eight, featuring double rooms (for single or double occupancy) with en-suite shower and bathroom as standard.

You can book your accommodation online. For our special Graduation rates, be sure to select ‘Halls of Residence’ as the Location and enter the promotion code WGRAD2019 when you book.

How long will the ceremony last?

All ceremonies last for approximately one hour followed by a drinks reception in Founder’s Dining Hall for Graduates and guests (with tickets).

Is seating allocated?

No, guests are free to choose where they wish to sit. The only exception to this is any seating that is reserved for guests with additional access requirements, and seating reserved for academics and staff.

Will there be official photography?

There will be an official photographer on campus with studios located in the Chapel. Presentation photographs will be taken during the ceremony and a Departmental photograph will be taken during the reception.

Are refreshments provided?

A glass of sparkling wine will be served in Founder’s Dining Hall after each ceremony for graduates and guests (with tickets).

Additional refreshments are available to purchase on campus.

Will I get my degree certificate at my ceremony?

You’ll not receive your degree certificate during the ceremony. Certificates are produced by the Diploma Production Office in London and will be posted to the forwarding address we have on record for you. Due to the large number of certificates that need to be produced, it can take between three to six months for you to receive your certificate.

I need proof of my degree

Shortly after the results have been published in Campus Connect, a free copy of the Diploma Supplement will be posted to all successful students.

The Diploma Supplement is a formal statement confirming your:

  • Course Unit Marks
  • Programme of Study
  • Dates of Attendance
  • Award Details

The document also contains contextual information about your programme and the UK Higher Education System in a format that is shared across Europe.

MPhil or PhD students will be sent a Proof of Award Letter once their award has been confirmed.

I need additional proof of my award

If you would like further proof of your academic achievements at Royal Holloway, there are a variety of documents available for you to order via the Royal Holloway Online Store.

Can I collect proof of my award at my graduation ceremony?

Diploma Supplements cannot be collected during Graduation week unless you indicated by the deadline that you would like to do so.

If you would like further proof of your academic achievements at Royal Holloway, there are a variety of documents available for you to order via the Royal Holloway Online Store.

If you would like to collect any additional proof of award documents on the day of your ceremony, you’ll need to order these from the Royal Holloway Online Store by 26 November 2019. This will give us enough time to prepare them and make sure they’re ready for you to collect from the Student Services Centre on the day of your ceremony.

Can I get a refund on my guest tickets?

Requests for refunds on unwanted tickets before graduation can be made up until the 13 December 2019 through the online form.

During and after graduation you can request a refund on any unused tickets using the online form until the 5 January 2020. Refunds at this stage are not guaranteed and are at the discretion of the Graduation Manager.

For a refund to be considered, all tickets must be returned, unused. These can be handed to the Student Services Centre on the day of the ceremony, or returned by post to:
