Get ready for the Festival of Volunteering! 

The Festival of Volunteering 2023 is taking place on Wednesday 20 September this year, and will be in person on campus. The Festival will take place from 12noon-3pm on our Founders Square and will be an excellent chance to talk to Royal Holloway students and staff about your volunteering opportunities. 

The Festival of Volunteering is free to attend for Royal Holloway Volunteering Community partners.

Is the event free to stall holders? 

The event is free for Royal Holloway Volunteering Community partners. Your organisation can apply to become a Community Partner by creating an account on our online platform. If you are unsure if your organisations is already a partner, please email us to find out.  

Is the event free for guests? 

The event is totally free for Royal Holloway students and staff, and is taking place in the middle of Welcome Week, the first week of the academic year.  

How many people do you anticipate attending? 

When we last held the event on campus more than 3,000 people passed through the Festival, and most community partners talked to dozens of potential volunteers.  

What time does the event take place? 

We encourage all community partners to arrive at 11am to that they are ready when the event is formally opened at 12 noon. The event finishes at 3pm.  

Can I just attend part of the Festival?

Due to the limited space available at the event, we would ask that you only apply for a place if you can attend the entire event. 

How much space will I have? 

We aim to give each partner a table and chairs. 

What do I need to bring? 

We recommend bringing your own branded tablecloths if you have them, as well as information about your organisation. We advise you to make your stand as appealing as possible and encourage you to think of interactive activities that might make your stand more appealing to our students and staff. 

How will students sign up to my opportunities? 

We would encourage you to create your own QR codes or websites for students to sign up to your opportunities. You can also use your own computers or tablets to sign people up. We do not reccomend bringing phsyical sign-up sheets as they can be easily lost or misplaced. 

Will you have power running to the stands? 

No, the stands will not have access to power sockets. If you do intend to use a laptop or tablet to sign people up, please ensure that your device is fully charged in advance of the event. 

Are there places nearby to eat and drink? 

We would encourage you to ensure your stand is staffed for the duration of the event, you can get coffee, tea, sandwiches and snacks from Café on the Square and the Students’ Union shop which can be found on our campus map.  

Where can I park? 

You cannot park on Founders Square but as long as you have provided your car registration to us in advance you can park in car park 12, 14, 3, 4, 6. 7. 8. 9 or 17. You may not park in a disabled space unless you are a blue badge holder.  

Can I post things like promotional materials to you so that I can pick them up on the day?

We would prefer you not to do this as the volunteering team have limited space, and items delivered to us by courier can often get lost on campus. 

What if it rains? 

The event this year is taking place under a covered area.  

How many people can I bring to staff my stall?

We request that you bring no more than four people to staff your stall  

Is there a hashtag for the day?

Yes! If you are making posts on social media please use #RHFoV2023 and tag us on Instagram, Facebook and Twitter  

Is this event taking place in London?

No. The Royal Holloway Festival of Volunteering is taking place at our Egham campus in Surrey. The address for the campus is Royal Holloway, University of London, Egham Hill, Egham, Surrey, TW20 0EX  

Can I bring my own food to distribute?

You are welcome to bring cold food as long as it is safe to eat and any allergens are clearly displayed. Any food must be covered.

How do I sign up to get a place?

You can apply for a place at the Festival of Volunteering using our online form

Could I book a room for a follow-up session at Royal Holloway?

Yes! Please contact volunteering@royalholloway.ac.uk to discuss this.

Will you be holding other recruitment events like this throughout the year?

This is our only large scale recruitment event, but you are welcome to email us at volunteering@royalholloway.ac.uk to discuss holding a stand outside our Volunteering Hub.
